Zoom Room Monitor Information

Act as room moderator and Tier 1 tech support.  As room moderator, you are the "Host" of the zoom room.

Before you begin volunteering

  • Make sure you are registered for 2020 Drupal GovCon.
  • Join Drupal GovCon 2020 slack workspace and the following slack channels:  #volunteer-support and #help-general.

Before you begin volunteering, please check-in in the #volunteer-support slack channel.

Before the session

  • Make the speaker a “Co-Host”. Confirm the speaker can connect and share their screen.
  • Share the placeholder GovCon slide in between speakers. 
    • Placeholder slides will be used before and between sessions.  Find the slide for your room by “Room Name” - “Conference Day” (example:  Acquia Room - Friday Slides). 

Start of session

  • IMPORTANT:  Click RED Record button.  All recordings should be “Record on the Cloud”.
  • Message speaker privately to start sharing their screen/presentation
  • Message and announce to group to everyone to mute themselves
  • Message and announce the speaker’s name and session title

During the session

  • Mute folks who forget to mute themselves
  • Moderate chat and assist the speaker with addressing any questions or comments.
  • Address any tech issues that arise.  If you are unable to resolve, notify the helpdesk.
  • Write down the # of participants 15 minutes into the session (excluding speaker and volunteer) and record the number in the Volunteer Schedule next to the session you are monitoring.  Also, confirm that you are recording the session.
  • Keep time and notify the speaker(s) when they go over allotted time.

During the Q&A

  • Read chat questions out loud for the speaker to answer.
  • Assist speaker with calling on participants who have raised their hands or otherwise indicated they want to ask a question over voice.
  • If necessary, cut off/mute people whose questions are too long.

At end of session/Q&A

  • IMPORTANT:  Stop recording.
  • Thank the speaker and everyone for joining.
  • Announce the next session and when it will start.
  • Start sharing the placeholder slide again if you are the moderator for the next session.  You can “Pause Share” so that you can continue to present the placeholder slide while viewing Slack, your browser, etc.
  • Important:  If you are passing control to another zoom room volunteer, make them the Host. 
  • Important:  Make sure you document the number of session attendees and confirm that you have recorded the session.
